The position will also work with the broader administrative team to provide general administrative services and assist in ensuring School objectives are met, and that University policies and procedures are followed. The primary responsibilities of this role include effectively managing the delivery of a wide range of administrative support activities and working collaboratively with other professional staff. This is a highly visible position with responsibility for a range of confidential matters requiring the ability to exercise considerable judgement, initiative, discretion and independence. Duties at this level will include: Diary Management for the Dean including forward planning and ensuring meetings and other commitments are scheduled in a timely manner and in a workable timeframe, anticipate likely needs and outcomes, and planning accordingly. This may include the coordination of appointments and meetings, room bookings and catering, demonstrating sound judgement on prioritisation. Manage the flow of incoming and outgoing requests and correspondence ensuring that reports, business papers and correspondence are dealt with efficiently and prioritised accordingly. In collaboration with the School Administration Coordinator, the School Senior Manager and/or Dean, manage a range of projects and improvement initiatives that support the strategic objectives of the School. Prepare high level and confidential documents, reports, minutes, agendas, presentations, and supporting papers for meetings as requested by the School Administration Coordinator, the School Senior Manager and/or Dean. Support the coordination of School social media activities in collaboration with the Office of the Provost Engagement Team. Skills and knowledge required for this position: A degree with subsequent relevant experience, or an equivalent alternate combination of relevant knowledge, training and/or experience. Demonstrated ability to set priorities and monitor workflows within own area of responsibility. Demonstrated excellent written and verbal communication skills with a high degree of accuracy and attention to detail. Highly effective communication and interpersonal skills, including the demonstrated ability to interact constructively and collaboratively with people at different levels of seniority, internal and external to the University. Demonstrated ability to deal with highly sensitive and confidential issues with discretion and professionalism. Advanced level computer skills in Microsoft Word, Excel, PowerPoint and experience in web management and sufficient computer literacy to master other relevant computer packages as required. Candidates who have previous experience in a higher education setting will be highly desirable.
